Schedules

Welcome to the All MedPM Online Manual! This guide will assist you in navigating the process of managing patient schedules.


  1. Starting Point: Click on 'Schedules' located on the sidebar. The displayed schedule will default to the current date. Tabs for multiple providers or rooms are available for ease of navigation. You can view the weekly schedule of each provider or multiple providers for a single day by selecting the appropriate option under 'View'.
  2. Schedule Usage:
    • To book an appointment, locate an open time slot and double-click it. You can input the patient's name directly or select it from a list by clicking the three dots.
    • Time slots can be labeled and color-coded, for instance, denoting first visits or follow-ups.
    • If a patient has a co-pay, it's displayed here and can be marked as collected with a simple click.
    • To add a new patient, click 'New Patient' and provide the necessary details. The information can be imported into the database during their visit and any additional fields filled out.
  3. Adding Notes:
    • Adjacent to the patient names on the schedule is a 'Note' feature for brief reminders.
    • Detailed notes can be added in the 'Note Details' field, visible as a small triangle in the time slot's corner. Hover over this triangle to view the full note.
  4. Recurring Appointments: Click the 'Reoccurrence' button to set up repetitive appointments. In case of a double booking, the software alerts you, allowing necessary schedule adjustments.
  5. Printing Super Bills: You can print everyone's super bill for the day with just one click, provided the super bill is already set up.
  6. Reviewing Schedules: Go to 'Schedules' to review. You can select the day or week, the provider, change the view to landscape, or consolidate providers. The view also includes notes and co-pay details.
  7. Claim Entry:
    • To transition to claim entry after a visit, double-click on the time slot. If it's a recurring visit, select 'Repeat Claim'. This action populates the claim with the details from the previous visit.
    • Click 'Save' to file a claim.
  8. Accessing Patient Information: At the top, options such as 'Patient Detail', 'See Notes', and 'Patient Data' provide relevant patient information and notes.
  9. Adding Tasks: You can add tasks directly from here, such as a reminder to follow up on a phone call.
  10. Rescheduling: In the weekly view, appointments can be rescheduled by simply dragging and dropping them to a new time slot.
  11. Search Function:
    • If you need to find the next available slot that suits a patient's specific needs, the search function is a useful tool.
    • To search for a patient's upcoming appointments, type their name and click 'Find'.
